
How to Dispute EDI Chargebacks: A Step-by-Step Guide
Retailers take automatic deductions from invoices for compliance failures — but not every chargeback is valid. Knowing how to dispute them effectively can recover significant dollars.
Before You Dispute: Know Your Data
You can’t dispute a chargeback you can’t prove wrong. Before starting a dispute, gather:
- Original PO (EDI 850) with date and time
- Your 855 acknowledgment with timestamp
- Your 856 ASN with timestamp and item detail
- Carrier pickup confirmation
- Bill of Lading (BOL)
- Label images for the shipment
Common Disputed Chargeback Types
Late ASN (False)
If your ASN was sent on time but the retailer’s system didn’t receive it properly, your transmission logs prove the issue is on their end.
ASN Accuracy (False)
If the chargeback claims your ASN didn’t match the shipment but your records show it did, the BOL and label images are your evidence.
Routing Non-Compliance (Invalid)
If you followed the routing guide but the retailer claims you didn’t, the routing instructions on the PO are your evidence.
The Dispute Process by Retailer
Walmart: Submit disputes through RetailLink → Invoice Disputes. Include transmission evidence and BOL.
Target: Use Partners Online deduction portal. Attach evidence documents to each line item.
Home Depot: Use their vendor portal’s claim dispute system with a 90-day window.
Dispute Timing
Every retailer has a dispute window — typically 30–90 days from the deduction date. After that window closes, the deduction is final. Set up a process to review and dispute chargebacks at least monthly.
When to Accept the Chargeback
If your systems show the ASN was actually late, or the shipment was actually non-compliant, accept the chargeback and fix the root cause. Disputing valid chargebacks damages your retailer relationship and wastes time.
