EDI in the Apparel & Fashion Industry: Key Requirements for Clothing Suppliers

May 20, 2024 6 min read Industry News

Apparel EDI has characteristics unique to the fashion industry. Size and color matrices, seasonal buying cycles, and department-store-specific requirements all create complexity that generic EDI solutions don’t always handle well.

The Size/Color Matrix Challenge

An apparel PO doesn’t just order "shirts" — it orders size S in red (qty 12), size M in red (qty 18), size L in blue (qty 6), and so on. This matrix structure must be represented correctly in the EDI 850 and reflected exactly in your 856 ASN.

Errors in size/color mapping are the #1 source of EDI chargebacks for apparel suppliers.

Department Store Requirements

Major department stores (Macy’s, Nordstrom, Dillard’s, Belk) have extensive EDI and compliance programs:

  • Hangtag requirements: Specific tag formats with style, size, color, UPC
  • Folding and packaging standards: Items must be packaged per planogram
  • Pack label requirements: Inner pack and master carton labels
  • GS1-128 labels: With fashion-specific field content

Seasonal Complexity

Apparel buyers place orders months in advance with specific ship windows. Your EDI system must:

  • Track ship windows accurately
  • Flag orders approaching cancel dates
  • Support partial shipments with accurate ASNs

Size Scale and Run Management

Fashion EDI often involves "run" structures where one PO line item contains a full size run. Your EDI system must correctly expand size runs into individual line items for the ASN.

Spring Systems’ apparel expertise covers all major department stores, specialty retailers, and off-price channels including TJX, Burlington, and Ross.
