Grocery EDI: What Food & Beverage Suppliers Need to Know

July 12, 2024 6 min read Industry News

The grocery supply chain has unique characteristics that create distinct EDI requirements. Perishable products, high transaction volumes, and tight delivery windows make accuracy and speed even more critical than in general merchandise.

Grocery-Specific EDI Challenges

High Transaction Frequency
Major grocery chains order frequently — often multiple times per week. This creates high EDI volume that requires automation to manage.

Tight Delivery Windows
Fresh and perishable products have hard delivery deadlines. ASNs must be timely and accurate so DCs can plan receiving and cold chain management.

Product Recall Traceability
The FDA Food Safety Modernization Act (FSMA) requires traceability from farm to shelf. EDI plays a critical role in building the data chain required for compliance.

Category-Specific Requirements
Different grocery categories (produce, dairy, bakery, dry grocery) often have different EDI and labeling requirements within the same retailer.

Major Grocery Retailers and Their EDI Programs

Kroger: Uses a proprietary vendor portal (Kroger’s Supplier Hub). Requires AS2 for EDI and has specific requirements for perishable ASN timing.

Albertsons: Part of the Unified Western Grocers network. EDI requirements are managed through their vendor compliance program.

H-E-B: A regional powerhouse with strict compliance requirements and a reputation for detailed vendor management.

Publix: Known for precise compliance standards and a detailed vendor routing guide.

GS1 for Grocery

Grocery EDI relies heavily on GS1 standards beyond just the shipping label — including product GTINs, GLNs (location identifiers), and in some cases GLN-based ASN structures. Ensuring your GS1 data is accurate is a prerequisite.
