EDI Chargebacks: What They Are and How to Avoid Them

Chargebacks are deductions retailers take from your invoice when you fail to meet their operational or compliance requirements. For EDI, the triggers are very specific — and very avoidable.

The Most Common EDI Chargeback Triggers

1. Late or Missing ASN (EDI 856)
Most retailers require the Advance Ship Notice to be sent within a window of 30 minutes to 24 hours of shipment. Miss the window and expect a 1–3% deduction.

2. ASN Accuracy Failures
If what’s on the ASN doesn’t match what’s in the carton, you’ll hear about it. Item quantities, UPCs, carton counts, and weights must be exact.

3. Wrong or Missing GS1-128 Labels
Carton labels must match the ASN exactly. A wrong barcode, missing zone, or incorrect format can trigger a routing or labeling chargeback.

4. PO Acknowledgment Timing
Some retailers require EDI 855 acknowledgments within 24–48 hours of receiving a PO. Silence is non-compliance.

5. Invoice Discrepancies
Your EDI 810 invoice must match the original PO in price, quantity, and terms. Discrepancies trigger deductions that take weeks to dispute.

How to Avoid Chargebacks

  • Automate your ASN: An integrated EDI system tied to your WMS or shipping system can generate and send the 856 the moment a shipment is confirmed.
  • Test before you go live: Retailer certification tests exist for a reason — they catch format errors before they cost you money.
  • Audit your labels: Use a label verification process every time a new retailer is added or specs change.

Chargebacks are expensive — not just financially but relationally. A reputation as a non-compliant supplier can get you removed from a retailer’s preferred vendor list. Prevention is always cheaper than dispute resolution.
